The template is intentionally plain. It works in Excel, Google Sheets, or an internal data tool and does not require employees to disclose prompts or AI responses.
What the columns mean
- Person and department: who can confirm the use.
- Tool, vendor, and business purpose: what the team is trying to accomplish.
- Account type and payer: company workspace, company-paid individual, personal, or unknown.
- Monthly cost: known run rate, not an invented estimate.
- Business-data categories: broad categories only; do not paste sensitive content.
- Evidence and confidence: employee declaration, expense, admin record, or another approved source.
- Owner, action, and review date: the decision that follows from the inventory.
How to use it
Begin with a small group, explain why the inventory exists, collect the minimum necessary information, review conflicts with participants, and delete source material that is no longer required. The template is a starting point, not a compliance certification.
